Move your records over from another system
Import contacts, companies, deals, customers, products and project work from a spreadsheet, in three steps.
Open More, Import in the menu (or go straight there), or press Import on the Contacts, Companies, Deals, Customers or backlog page.
What you can bring in
- CRM: contacts, companies and deals
- Invoicing: customers, and your products and services with their prices
- Project Management: work items, into a project you choose
The three steps
- Choose a file. Export a list from the system you use now and save it as CSV. HubSpot, Salesforce, Pipedrive, Jira, Monday, Trello, Asana, QuickBooks, Xero, Excel and Google Sheets can all do this.
- Match the columns. Spotbookr reads your headings and matches the ones it recognises, such as "First Name", "Company Name" or "Deal Stage". Change any that are wrong. You see the first rows of your file, and which columns are being left out.
- Import. You are told how many rows were added, updated and skipped, with the reason for each skipped row.
Good to know
- Order: companies first, then contacts, then deals. Each links itself to what is already there. A deal whose contact is not in your account yet creates that contact.
- Duplicates: a contact with an email already in your account is skipped, unless you choose Update records that are already here.
- Your own fields: add them under CRM, Settings first, and they appear in the column list.
- Stages and statuses: a deal stage that matches one of yours is kept; "Closed won" and "Closed lost" become Won and Lost; anything else starts in your first stage.
- Quiet: importing sends no emails and sets off no automations or notices.
- Size: up to 5,000 rows and 8 MB a file. Split larger files.
- Excel files need saving as CSV first: File, Save As, CSV.
